Please read carefully before booking or attending your appointment.

Deposit & Appointment Confirmation

All appointments require a non‑refundable deposit to secure the booking.

Appointments are not confirmed without a deposit and cannot be guaranteed without one.
Deposit Amounts:
-
Single session: $500 deposit
-
Two or more sessions: $200 deposit per session
Examples:
-
2 sessions → $400 deposit
-
3 sessions → $600 deposit
How the Deposit Works:
-
The deposit is applied toward the cost of your tattoo.
-
For multi‑session projects, the deposit is applied per session.
-
Deposits are non‑refundable and non‑transferable.
Deposit Card/Records:
-
Deposits are issued as a deposit card (gift card equivalent).
-
The deposit is deducted from this card at each session.
-
Clients are responsible for keeping the card safe.
-
You are responsible for retaining any confirmation info (email, card, or proof). Lost proof of deposit may not allow you to redeem it later.
Lost Card:
-
Lost cards may be subject to a replacement fee.
-
If the card cannot be verified, the remaining deposit may be forfeited.
Non‑Refundable:
-
Deposits are non‑refundable under any circumstances, including cancellations, rescheduling, or no‑shows.
-
Deposits compensate for reserved time and custom design work.

Cancellation, Rescheduling & Deposit Forfeiture
Notice Requirements:
-
Minimum 7 days' written notice is required to reschedule without losing your deposit.
-
You can reschedule once only per appointment, and the new date must be within 30 days of the original session.
-
Reschedules outside this 30-day window may result in deposit loss.
-
Reschedule notices given less than 7 days in advance may result in deposit forfeiture.
-
In cases of late cancellation (less than 7 days' notice), we reserve the right to require a higher deposit for future bookings — up to the full session amount — in order to confirm and secure your spot.

After one reschedule, any further change is considered a cancellation, and the deposit is automatically forfeited.
-
Deposits are non-refundable. Deposits are non-transferable after the appointment was rescheduled.
For Multi-Session Bookings:
-
If you cancel all future sessions, the deposit(s) remain non-refundable.
-
A cancellation fee of $200 may apply per cancelled session.
-
The remaining balance may stay on file for future use or be transferred to another booking at the artist's discretion.
Late Arrivals:
-
Deposit is forfeited after 30 minutes late without a notice.
-
Late arrivals may result in reduced service time or cancellation.
Non-Transferable Appointments:
-
Appointments are non-transferable.
-
Clients may not give, sell, or transfer their appointment time to another person under any circumstances.

Emergencies & Uncontrollable Circumstances:

Vesna Studio is not responsible for delays, cancellations, or interruptions caused by uncontrollable circumstances, including but not limited to severe weather conditions, power outages, transportation disruptions, natural disasters, government or public safety restrictions
Studio-Initiated Changes:
-
If Vesna Studio must cancel or reschedule a session due to such uncontrollable circumstances, the client’s deposit remains valid and will be applied to the rescheduled appointment.
Client-Initiated Changes:
-
If a client is unable to attend or requests to cancel or reschedule due to uncontrollable circumstances while the studio remains open and operational, the session will be treated as a no-show, and the deposit will be forfeited in accordance with studio policy.
Vesna Studio will make reasonable efforts to communicate changes promptly and offer alternative scheduling options when possible.
Agreement:

By signing a service waiver or submitting a deposit, the client confirms that they have read, understood, and agreed to this Deposit Policy in full.
Design Policy
-
All designs are custom and created individually for each guest.
-
Design work begins approximately 1 week before your session.
You will receive a design preview + 3D placement visualization (with approximate size and placement) during that week. -
Depending on workload, designs may be sent 1–2 days before the session.
Designs are created in booking order, starting with the earliest upcoming sessions — no exceptions. -
Minor changes are possible and must be:

Clearly described
-
Sent in writing several days in advance
This allows enough time to implement them.

Late requests for changes may result in:
-
Rescheduling the session
-
Loss of deposit
-
-
If the design has significantly changed since the original consultation, this is considered a new project.
In that case:-
Your session may be rescheduled with deposit forfeiture, or
-
The project may be canceled, and:
-
A cancellation fee will apply
-
Your existing deposit will be retained as compensation for design time

Pricing and payment methods
Pricing Structure:

All tattoo sessions at Vesna Studio are priced based on session time and project complexity, not by size alone.
-
Pricing reflects experience, artistic expertise, preparation time, breaks, and execution, not just tattoo duration.
-
Final pricing is discussed during the consultation and confirmed before the booking is secured.

Prices are non-negotiable.
Payment Methods:
Vesna Studio accepts the following payment methods:

Credit and debit cards

E-transfer

Cash
Payment is due on the day of the session.
Taxes:

All prices are subject to applicable taxes (13% HST) in accordance with Ontario regulations.

Taxes are not included in the quoted price unless explicitly stated.
-
There are no tax exceptions for cash payments.
-
The final invoice will clearly show the service price, tax amount, and total due.
Price Changes:

Vesna Studio reserves the right to update pricing at any time.

Confirmed bookings keep the agreed price, provided:

The design scope does not change
-
The session is not rescheduled beyond policy limits
-

Once a current project is completed, any future or new projects for the same guest will be priced according to the current pricing at the time of booking.
Consultations:
-
Consultations are complimentary and may be required for large-scale, cover up, or complex tattoo projects.
Agreement:
-
By paying this invoice or signing a service waiver, you acknowledge and agree to all terms outlined on this page and in our studio policies.
Aftercare & Healing Expectations
-
Aftercare instructions will be provided at the end of your session.
-
It is your responsibility to follow them properly for optimal healing.
-
Healing varies per person, and not all tattoos heal perfectly — minor touch‑ups may be necessary.
Touch Up Policy
-
One complimentary touch-up may be offered at the artist’s discretion for tattoos that have healed unevenly due to normal skin healing.
-
Touch-ups are considered only after the tattoo is fully healed (minimum 6–8 weeks).
-
Complimentary touch-ups must be requested and completed within 3 months of the original session.
-
Complimentary touch-ups apply only to tattoos originally completed at Vesna Studio.
Touch-ups are not complimentary if healing issues are caused by:

Improper aftercare
-
Excessive sun exposure or tanning
-
Swimming, sauna, or steam exposure during healing
-
Picking, scratching, or trauma to the tattooed area
-
Skin changes, scarring, or medical conditions
In these cases, touch-ups will be quoted as a new paid session.

Vesna Studio does not guarantee touch-ups on areas known for difficult healing (hands, fingers, feet, ribs, etc.).
-
Touch-ups do not include design changes, additions, or stylistic adjustments.
Cancellations & No-Shows:

Complimentary touch-ups are forfeited if:
-
The appointment is cancelled or rescheduled within 24 hours
-
The guest does not attend the appointment
Guests & Studio Etiquette
-
Due to the private and focused nature of the studio, no guests or companions are allowed unless discussed in advance.
-
Arriving on time is suggested, not earlier than 5 minutes before your session. Late arrivals may shorten the session time.
-
The studio is a calm and clean space — we kindly ask you to silence your phone and avoid taking phone calls during the tattoo process.
Hygiene & Cleanliness
-
Please shower before your appointment and wear clean, comfortable clothing that allows access to the area being tattooed.
-
During the winter/rainy season, we ask you to bring a pair of indoor shoes or slippers to help maintain cleanliness in the studio.
-
You may be asked to remove shoes at the door.
Health & Safety
-
Please inform us in advance if you have any medical conditions, allergies, or are taking medications that may affect the tattooing process.
-
If you are feeling unwell, have a fever, or flu-like symptoms, please reschedule. We reserve the right to refuse service to maintain a safe environment.
-
You must be 18 years or older to get tattooed — valid government-issued ID must be submitted.
Waitlist Policy

Vesna Studio offers a waitlist option for guests who wish to be contacted if an earlier appointment becomes available.
-
Being added to the waitlist does not guarantee an appointment.
-
Availability is offered on a first-response basis, not by request order.
-
Guests on the waitlist must be ready to confirm immediately when contacted.
-
If a waitlist offer is declined or no response is received within the given time frame, the slot will be offered to the next guest.
-
Waitlist availability is limited to existing approved projects only.
-
Pricing and session details follow current policies at the time of booking.
Photography, Surveillance & Social Media
-
Vesna Studio photographs completed tattoos and retains the rights to these images for portfolio, educational, and promotional use.
-
All tattoo photographs are taken without showing the client’s face, except in rare cases that are discussed individually.
-
Guests may refuse photography or request anonymity, blurring, or removal of images by contacting the studio.
Security Cameras:
-
Security cameras are in use throughout Vesna Studio for safety and security purposes.
-
Cameras are not installed in private areas, including bathrooms.
Accessibility & Facilities
-
Vesna Studio is located on the ground floor and is accessible to most guests.
-
If you have specific accessibility needs, please inform the studio in advance so accommodations can be discussed where possible.

A restroom is available for client use.
-
The studio maintains a clean, calm, and private environment for all guests.
Children & Pets
-
For safety and focus, children are not permitted in Vesna Studio.
-
Pets are not allowed, with the exception of registered service animals.
Refund Policy

All services, gift cards, and deposits are non-refundable.
Right to Refuse Service
-
Vesna Studio reserves the right to refuse service or ask anyone to leave at any time to protect safety, professionalism, and community standards.
Agreement

By signing a service waiver or receiving services at Vesna Studios, you acknowledge and agree to all terms outlined in this policy.
